Privacy Policy

We respect the privacy of you and your website visitors. This policy explains how SiteAiAgent handles account, knowledge base, conversation, lead, billing, and service operation data.

1. Scope

This Privacy Policy explains how SiteAiAgent collects, uses, stores, shares, and protects information when you visit our website, create an account, use the workspace, install the chat widget, upload knowledge base content, or use related services.

If you use SiteAiAgent on behalf of a company or organization, you are responsible for ensuring that you have authority to submit information and that your website visitors receive any privacy notices required by applicable law.

2. Information we collect

  • Account information, such as name, email address, login identity, organization or team details, account role, and preferences.
  • Site and Agent configuration, such as website URLs, knowledge sources, business scenarios, answer rules, appearance settings, human handoff settings, tool settings, and integrations.
  • Customer content, such as web pages, documents, FAQs, product information, prompts, rules, and other content you upload, crawl, or configure for an Agent.
  • Visitor interaction data, such as visitor questions, AI replies, conversation state, lead forms, human handoff requests, attachment metadata, and related context generated through the chat widget.
  • Billing and subscription information, such as plan, usage, payment status, invoice details, and transaction identifiers returned by payment providers. Full payment card details are generally processed by payment providers, and we do not intentionally store full card numbers.
  • Usage and device information, such as access time, pages, browser, device, IP address, logs, error information, performance data, and security audit records.
  • Communications, such as support requests, feedback, and messages you send through customer support, email, forms, or other channels.

3. How we use information

  • To provide, maintain, and improve SiteAiAgent, including creating Agents, indexing knowledge bases, generating answers, displaying the chat widget, saving conversations, and processing human handoff requests.
  • To authenticate users, manage permissions, sync subscription status, calculate usage, process payments, issue billing records, and prevent abuse.
  • To provide more relevant AI support answers and lead capture experiences for your website visitors based on your configured content and rules.
  • To troubleshoot issues, analyze performance, improve product quality, develop new features, and use aggregated or de-identified data for reasonable analytics.
  • To send service-related notices, including security alerts, billing changes, feature updates, service maintenance, and policy changes.
  • To comply with legal obligations, respond to lawful requests, and protect the rights, safety, and property of users, visitors, SiteAiAgent, and third parties.

4. AI support data and customer content

You retain ownership of your customer content. We process customer content and visitor interaction data only as needed to provide the service, troubleshoot, maintain security, comply with law, and support purposes you authorize.

AI replies may be generated from your configured knowledge base, answer rules, conversation context, and connected model services. You should avoid uploading or requesting website visitors to submit sensitive personal information unrelated to your business purpose, and you should provide appropriate notices and consent mechanisms where required.

Unless expressly agreed otherwise, we do not sell customer content or visitor chat records.

5. Sharing information

  • Service providers: we may share necessary information with providers of cloud infrastructure, databases, model services, payments, email, logging, security, analytics, and support tools so they can provide services on our behalf.
  • Your team members: authorized members in the same workspace may access site settings, knowledge bases, conversations, leads, logs, and billing information.
  • Legal and safety: we may disclose necessary information when required by law, regulation, legal process, rights protection, security investigations, or fraud and abuse prevention.
  • Business changes: if we are involved in a merger, financing, acquisition, reorganization, or asset transfer, relevant information may be transferred as part of that transaction, subject to reasonable privacy obligations.

6. Cookies, logs, and analytics

We may use cookies, local storage, logs, and similar technologies to keep you signed in, remember preferences, protect account security, measure usage, and improve the service. You can limit cookies through your browser settings, but some features may not work properly.

7. Data retention and deletion

We retain information for as long as needed for the purposes described in this policy, including providing services, performing contracts, resolving disputes, meeting audit obligations, and complying with law. Retention periods may vary by data type, plan, configuration, legal requirements, and business needs.

When information is no longer needed, we delete it, anonymize it, or otherwise handle it in a reasonable way. You may also delete sites, knowledge bases, conversations, or account data where product functionality allows.

8. Security

We use reasonable technical and organizational measures to protect information, including access controls, permission management, transport protection, audit logs, and security monitoring. No internet service can be guaranteed to be absolutely secure, and you are responsible for protecting account credentials, API keys, and workspace access.

9. International processing

We and our service providers may process or store information outside your region. We take reasonable measures, based on applicable law and the service context, to protect personal information during cross-border processing.

10. Your rights and choices

  • You can access, update, or delete some account and workspace information through the service.
  • Depending on applicable law, you may request access, correction, deletion, restriction, export, or objection to processing of your personal information.
  • You may opt out of some marketing or non-essential notices, but we may still send service, security, billing, and legal notices.
  • If you are a visitor to a SiteAiAgent customer website, you may also contact that website operator directly regarding rights related to chat records and lead information.

11. Children

SiteAiAgent is intended for businesses and professional users and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has submitted information to us, please contact us through the SiteAiAgent website or in-workspace support channel.

12. Updates and contact

We may update this Privacy Policy as our product, legal obligations, or operations change. Material changes will be communicated through the website, workspace, or other reasonable means. Continued use of the service means you are aware of the updated policy.

If you have questions about this policy or our handling of personal information, contact us through the SiteAiAgent website or in-workspace support channel.
